Terms of Service

These terms apply to CrewPin, operated by WebsProjects (Pty) Ltd (registration number 2000/029638/07), 2 Ely Avenue, Mulbarton, Johannesburg 2059, South Africa ("WebsProjects", "we", "us"), and to the company that subscribes to it ("you"). By using CrewPin you agree to them. If you use CrewPin through your employer, your employer's agreement with us applies, and these terms tell you how the service works. Effective date: October 9, 2026.

The service

CrewPin is a GPS time clock for field crews: a mobile app, a web dashboard and a shared-device kiosk for recording hours, breaks, job sites and mileage, approving timesheets and exporting payroll data. Each subscribing company gets its own deployment, address and database.

Accounts

  • Company admins create and manage crew accounts. There is no public sign-up for crew.
  • Keep logins and kiosk PINs private. You are responsible for activity under your company's accounts.
  • Tell us promptly if you think an account has been misused.

Your data

Your company owns the data it puts into CrewPin. We use it only to provide and secure the service, as set out in our Privacy Policy. You can export timesheets, payroll and mileage data as CSV while your subscription is active.

Your responsibilities

  • Tell your crew that CrewPin uses location while they are checked in, and get any consent the law requires where you operate.
  • Review and approve hours before you pay them. CrewPin calculates hours, overtime and mileage estimates from the records and settings you provide; it is not payroll, tax or legal advice.
  • Comply with the wage and hour, privacy and employment laws that apply to you.

Fees and payment

Fees are shown in your quote or order: the subscription for your company's user blocks and any setup fee, in US dollars, plus any applicable taxes. Subscriptions renew automatically until cancelled. Fees already paid are non-refundable except where the law requires otherwise or we agree in writing.

Term, suspension and cancellation

  • You can cancel at the end of any billing period.
  • If a payment fails, we will tell you and allow a grace period. If it is still unpaid, we may suspend the service. Your data is kept while suspended.
  • After cancellation, you can ask us for an export of your data for a limited time, and you can ask us to delete it.
  • We may suspend an account that breaks these terms or puts the service or other customers at risk.

Availability and support

We aim for 99.9% uptime and provide security fixes, updates and support as part of the subscription. Planned maintenance and events outside our reasonable control may cause interruptions. The app saves punches on the phone when there is no signal and syncs them later.

Resellers

If you subscribe through a CrewPin reseller, the reseller may set your price and be your main contact, and their agreement with you also applies. Resellers agree separate terms with us.

Acceptable use

  • Use CrewPin only for recording work time, breaks, job sites and work mileage.
  • Do not use it to record anyone's location outside their working time.
  • Do not attack, overload, reverse engineer or resell the service except through the reseller program.

Disclaimers

CrewPin depends on phones, GPS and networks we don't control. GPS can be inaccurate, especially indoors or near tall buildings. To the extent the law allows, the service is provided "as is", without warranties beyond those stated in these terms.

Limitation of liability

To the extent the law allows, neither side is liable for indirect or consequential losses, and our total liability for any claim is limited to the fees you paid us for CrewPin in the 12 months before the claim.

Changes

We may update these terms. If a change is material, we will give company admins notice before it takes effect. Continuing to use CrewPin after that means you accept the new terms.
